We’re enhancing TaskRay’s External Collaboration features, giving you more tools, options, and flexibility to collaborate with your customers exactly how you need to through views, assignments, notifications, file sharing, and more. With four options, our updated suite of features provides the customization and scalability you need, no matter the size of your business, industry, or regulatory requirements. With External Collaboration, you get:

Let’s explore what’s new!

Collaboration Hub is a brand-new feature and license type that gives external stakeholders full access to TaskRay, allowing them to manage their assigned project work. It is for businesses that require heavy task involvement from their customers, including—but not limited to—those in industries with strict security or regulation requirements. Think healthcare, financial services, real estate, tech–and more.

Most of all, Collaboration Hub is designed with ease of use in mind. It can be set up in minutes, allowing users to extend access to their external stakeholders with little to no administrator support. It’s secure, on-platform, and fully customizable so you can adjust the external experience with user management and access levels, permanent settings, and monitor and control changes made by users. Other capabilities include:

  • Similar to Salesforce Digital Experiences for file sharing and task management–but without the cost and need for development resources
  • Unlike other providers, Collaboration Hub helps end users adhere to security or regulatory requirements by keeping all data securely within Salesforce
  • Quick and easy setup—just a few button clicks and toggles. Adjusting access levels and permanent settings takes just minutes.
  • Ability to customize collaborative workflows through out-of-the-box features like Chatter, Files, Time Tracking or other advanced customizations
  • Ability to customize branding for portal page and notifications

While there are a lot of new updates, let’s quickly walk through what’s staying the same:

Public Dashboard is now Collaboration View. Collaboration View provides a read-only view of project insights, such as project plans and task statuses. This light-touch option is perfect for businesses that do not require external stakeholder involvement in tasks and do not have security requirements but would like to provide insight into project progress. There are zero functionality changes here, and it works just like Public Dashboard did, including Plan View, Insights Tab, and the ability to customize notifications with your company’s branding. Customers get real-time project visibility, and your PMs don’t waste valuable time manually creating reports or over-scheduling status update meetings.

External Ownership & Completion is now Collaboration Connect. Again, no functionality changes here, with the ability to assign and mark tasks as completed via email by outside partners. This further drives accountability from external stakeholders and allows PMs to monitor and approve task completion. This option is ideal for those who only need light task involvement from outside stakeholders. Collaboration Connect pairs nicely with Collaboration View for simple task completion and project status visibility.

Collaboration Experience is the most comprehensive of the external collaboration feature suite and acts similarly to Premium Community licenses. It’s a secure, on-platform experience that provides full access to both TaskRay and Salesforce capabilities and is available in both Standard and Premium editions with Collaboration Experience licensing. This option is designed for highly complex, comprehensive workflows requiring heavy involvement from external stakeholders, compliance with strict security and regulation requirements, and creating true end-to-end workflows using TaskRay and other Salesforce Products and integrations.
