HOW ARE YOU USING TASKRAY?

Initially, a marketing team in a remote location started using TaskRay to get better at meeting and workload management. At the same time, our info design and tech team was using Salesforce as a development platform to build out an application process and other programs specific to higher ed. So, when we saw TaskRay at Dreamforce, it made sense for our core group to start using it.

Today, our entire group uses TaskRay to internally to manage time and workload. Many also use a TaskRay agenda to do their stand-ups. Our tech team manages projects with other teams on TaskRay, which makes it easy for them to jump back and forth between projects. We also work with the curriculum group to develop training programs, a process that can be hard and complicated. With TaskRay, we can put projects into the pipeline early and everyone can see the new ideas, what is on hold, etc.

WHAT PROJECT MANAGEMENT TOOL(S) WERE YOU USING BEFORE TASKRAY?

Docs, whiteboards, meetings, spreadsheets. The remote marketing team was using Word docs, which worked OK for awhile because they all sat close together. When that stopped working, they moved to Google Docs (essentially just large spreadsheets) and then that got overly cumbersome. At the time we chose TaskRay, different teams were looking into different solutions. It would have been a nightmare if everyone had chosen their own.

WHY DID YOU CHOOSE TASKRAY?

We looked at the usual suspects — Asana, Basecamp, and a few others. We liked that TaskRay is Salesforce native and their non-profit pricing made it hard not to try it, 10 free licenses is a big deal. The pricing to roll out to more people is also great.

During installation, we submitted some questions to TaskRay support and I got a call back quickly from one of the founders who helped us on the spot. Customer service is always good and the level of support made it easy to justify staying and paying.

ANYTHING ELSE? 

The resources provided on the TaskRay site are great. For example, the use cases are really helpful for people who are managing their own projects separately. Also, the marketing team didn’t have a lot of reason to go into Salesforce. But because TaskRay is Salesforce native, it helped them get more comfortable with logging in and creating dashboards, which ultimately helped them better understand the sales process.
